Job Description



The primary purpose of the Billing Coordinator is to process client bills and assist secretaries in all billing functions.
1.  To process all client bills for Cleveland office and firm-wide attorney bills.  This includes generating proformas, making narrative edits, adjusting hours as needed, processing writedowns or ups as needed, ensuring proper approvals and finalizing the invoices.
2.  Answer questions, solve problems and provide assistance to secretaries when requested.
3.  Research pending invoice reports periodically throughout the month.
4.  Act as back up for other billing coordinators.
5.  Assist in filing of client bills for entire firm.
6.  Pull copies of archived bills as requested.
7.  Run reports on the Elite and/or InfoView systems for attorneys, paralegals and/or secretaries (i.e., unbilled time reports, outstanding invoice reports, audit reports and inquiries).
8.  At year end, file and document all of the year's client bills in storage cartons to be held off-site.
9.  Answer the Billing Help Line and e-mail account.
10.  Other essential functions as requested by the Billing Manager.
11.  The position may require the ability to adapt to new technologies and/or add new job duties as directed.

Education, Training and/or Experience
1.  High School or equivalency.
2.  Minimum of 2 years legal billing experience.
3.  Two years office experience, preferably in a law firm.
4.  Some experience in accounting.
Knowledge, Skills, and Abilities
Individuals must possess the following knowledge, skills, and abilities, or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodations through some other combination of skills and abilities.
1.  Keyboard, Computer (Excel, WordPerfect, Windows).
2.  Knowledge of 10-key.
3.  Ability to work in deadline and on rush assignments.
4.  Excellent grammar and proofreading skills.
5.  Ability to work with, cooperate with and develop working relationships between various departments, Firm personnel and clients.
6.  Occasional lifting of archived bill files weighing approximately 20 lbs.
7.  Occasional filing of client bills in 5-drawer cabinets which requires bending, stretching, and standing.
8.  Ability to work evenings and weekends as needed.
Law firm billing experience, experience with Elite billing software and electronic billing a plus.
